  Daily limit changes

  Hi there, our latest update concerns the daily limit for sending emails.

  Every user can now set their own limit per sending address.

  To do that, you need to access the Sending Address section of your Personal Settings.

  

  All you have to do is click on change and set the limit you like.

  

  Please keep in mind:

  You are still subject to your email provider’s limitation

  For example:

  • A regular Gmail account only allows 500 emails to be sent in a day.
  • A G Suite account goes up to 2000 emails.

  
  

  Please check with your provider so you don’t go over their limit, it might results in having your account temporarily suspended.

  You can still add more prospects to a campaign than your sending limit, just keep in mind that the email deliveries will be postponed to the next day with free capacity.

  Email verification levels

  More good news! We just updated our email verification feature to allow you to manually select the level of verification you desire when importing prospects, whether it be from one of your files or through the Chrome extension.

  Hey there! Prospect.io now supports an automatic 2-way contacts sync with PieSync!

  PieSync has been spending the past few years successfully integrating dozens of apps so that you never have to struggle with the syncing of contacts between apps gain.

  Whenever you add or update a contact in any app supported by PieSync, the synchronisation with the others is automatic. How awesome is that? 

  Manually transferring data from one cloud-connected app to another is a thing of the past.

  Office 365, Exchange and SMTP now supported

  Good news, we recently developed Prospect.io to support more email providers! Starting today you can also connect emails accounts from Office 365, Microsoft Exchange or your own SMTP.

  You can find these options in Personal Settings / Sending address when you click on “Create an account”.

  

  You may still, of course, use Gmail or the paid version from G Suite.

  We added 2 new filters available on all prospects' fields, is unknown and has any value:

  

  In this example:

  • Is unknown: will give you prospects with an empty job title
  • Has any value: will only give you prospects with a not-empty job title

  Verify emails from Import & API

  We recently introduced automatic email verification for every email we provide. You now have the possibility to use this email verification to verify your own email addresses.

  From Import

  On CSV import, you now have an option to verify every email included in your file:

  

  This is only for your email addresses, addresses we provide are automatically verified for free.

  With the API

  If you need to verify a large number of  email addresses or if you want to integrate an email verification in your system you can also use the email verification from our API.

  Email verification

  Starting today all emails we provide are automatically verified. We perform multiple checks on the email. We validate the format and make sure it isn’t a temporary address. Then we contact the mail server (without sending any emails) to make sure there is indeed an inbox for the requested address.

  This verification will automatically remove 80% of the bad email addresses and so drastically decrease your bounce rate.

  Simply remember that even if this is a huge improvement in terms of quality the verifications are never totally sure, accept all servers may still result in invalid email addresses.

  New template variables: sender first name and last name

  We introduced 2 new templates variables:

  • {{user_firstname}}
  • {{user_lastname}}

   
  What these variables do is pretty straightforward, they will introduce the sender first name and last name in your emails.

  Remember, these variables can be used in templates and campaigns.

  Reports: Prospect created VS contacted

  We improved the report dashboard to clarify the prospects stats.

  New prospect's fields

  After a long waiting period I'm happy to announce that we just introduced 9 new fields on prospects!

  The new fields are:

  • Title (Mrs, Mr, …)
  • Industry
  • Country
  • Phone number
  • Custom field A, B, C, D, E

   

  The 4 firsts fields (title, industry, country and phone nulmber) are available to add in the extension:

  

  These new fields can also be used when using the import, the filters,  the template variables, and in Zapier. They are also available when you export your prospects.

  The 5 custom fields are text fields you can use the way you want.

  New interface

  We just released a new interface of Prospect.io! The main idea with this new interface was to:

  • Have more space for the main screens
  • Make the prospects' filters always visible

  Find Emails on Import

  Hello everyone,
  
  We're happy to introduce a new feature: finding emails on imports!

  If you don't have an email address linked to a prospect, we can now attempt to find the missing ones for you. All you need is the first name, last name and website for that individual. Once you start the import, make sure those three fields are correctly mapped, and then just click on "Yes, try to find missing emails in my file".

  Select Campaign Sender

  Small (but significant) update this week.
  
  You now have the possibility to select the “sender” of a campaign, if there are more than one users linked to your Prospect.io account.

  You can do this in several ways:
  

  - When you add in bulk to a campaign from your prospects tab.
  - When you add in bulk to a campaign from your lists tab.
  - When you add a prospect to a campaign using the Chrome and Linkedin extensions.

  Pause / Resume Campaigns In Bulk

  Good news from us at Prospect.io, just before the weekend starts...
  
  

  As you know you have the ability to start and stop campaigns “in bulk”, and now you’ll also be able to pause campaigns and resume campaigns in bulk.
  
  Essentially this feature will stop you having to manually click on every prospect in the campaign, and pausing or resuming on an individual basis.

  New Email BCC Feature

  We launched an email BCC feature which allows you to automatically get a copy of all emails sent with Prospect.io.

  This is especially useful if you want to have all the emails you send to show up in your CRM for example. A lot of CRM (Salesforce, Zoho CRM, etc.) provide you with a specific email address you can specify in BCC to display the emails in the CRM.

  To use this feature please go to Settings -> General BCC Address.

  Upload Images With Our New Text Editor

  Do you still want to add a fancy signature to your emails? Good news! We’ve just launched an improved text editor which now allows you to add images by adding the URL of the image.

  Here’s how it works:

         1. Upload your image on a server. This could be your own website or an external one like Dropbox, Google Photos etc.

         2. Click on the insert image button (see image below) in the editor and just paste in the link to the image you’ve uploaded.

  

        3. Choose the right dimensions and then click “Ok”.

  

  That’s it! And below you can see what the end result would look like :)

  

  However,  if we’ve been in touch you know we don’t recommend adding images as it might affect your email deliverability. This is  because some spam filters are triggered by images, attachments and multiple links. Mailchimp did some research work on this topic, have a look here if you’re interested in the details.

  Improved Reports Section

  Hey everyone!

  Starting today you can access more useful information when clicking the “Reports” menu in Prospect.io. You’ll notice two new sub-menus are displayed, one for Templates and one for Campaigns.

  We’ve cleared out the “Campaigns” page to display only the essential information and moved the stats on a dedicated page inside “Reports”. You can easily get there by clicking the “Stats” icon (see below). That will show you the stats on how your campaigns perform with the indicators you’re already used to: open, click, reply, conversion and bounce rate.

  

  Plus, now you’re also able to filter statistics of campaigns and templates by a certain user or a specific time span (1 week, last month etc). Please see image below.

  

  This can help you track performance at an individual level and spot the most effective outreach approaches. We’ll keep improving these functionalities and add more management level features needed for larger teams.

  Improved Features For Sending And Scheduling Campaigns

  Based on the feedback and experience of our users we decided to improve and clarify the features to start a campaign or schedule it in the future.

  So, to start a campaign you only need to select a group of prospects (or an entire list if you want) from the prospects list and use the Bulk actions -> Campaign... menu entry.

  In the next screen you’ll notice 2 options: Start now or Schedule.

  
  

  You can choose what option suits better your needs. Start now will have emails delivered in the next couple of minutes and Schedule will allow you to decide on the exact sending day & time:

  This option is also available from the extension or directly from the prospect page.

  New Click Tracking Options

  We have implemented new, improved options for managing click tracking in your campaigns. Please have a look in your tracking settings and review your current settings.

  You can now choose whether to disable click tracking completely or use your own subdomain to track if a prospect opened your link.

  If you want to use your own subdomain you first have to create a CNAME record in your DNS settings and have it point to c.prspct.click then add the subdomain name in your settings, like you see below.

  Double Click On Save Opens Prospect’s Page

  We’re getting back to you with another product update that will get you faster access to the prospects you save with our Chrome extension.

  Before you had to save a prospect and then open your Prospect.io account and look it up in order to edit it or add more information.

  Starting today you can just save and then click again on the save button and it will take you directly to the prospect’s page and save you time.

  Improved the CSV export for large number of prospects

  Some of our customers have thousands or tens of thousands of prospects in their account and they asked about exporting their list to a CSV file.

  Until today you couldn’t have done this because the export would have timed out and you’d get an error. So, we’re really happy to announce that we have improved this and now the export is done in the background. Once it’s completed you will receive an email with a link to download the file.

  Qualified Status for a Prospect

  We end the week with another new feature we just introduced. Since a lot of companies have their sales process shared by sales development reps (research work for prospects and trying to qualify leads) and sales executives (taking over qualified leads from SD and trying to close the deal), we thought of allowing you to use Prospect.io in the same way.

  So, now you can have your SDRs (sales development reps) prospect the market, set up drip campaigns and try to qualify leads - when they have a juicy, qualified lead to send over to sales executives they can just click the “Qualified” button and mark that prospect as such.

  This can be very helpful if you set up Prospect.io to work with your CRM (we offer integrations for the most used CRM systems like Salesforce, Hubspot, Pipedrive etc) and set a rule to send a prospect to a “Pre- Qualified” stage in your pipeline where sales executives can take over from.

  This feature will also allow you to better track the activity of your sales development team.

  Hubspot CRM Integration

  
  

  By now you probably got used to us launching new features and improvements every week so we’ll keep this tradition! Today we are really happy to introduce a new integration, with Hubspot CRM!

  Connect your Prospect.io account with your Hubspot CRM account and Prospect.io will create new deals from your prospects. You can choose when you want the deal to be created (when the prospect open your email or click on link for example) and at which pipeline/stage. You have a lot of options, you just need to figure out what’s best for your sales workflow.

  Pause a campaign

  More good news about a feature we designed to help you when a campaign interrupts because of an error (like a disconnected Gmail account etc) or to manage “out of office” replies. So, when you receive such a reply you can go to that prospect and actually pause the campaign till the person returns to office and then resume it.

  We are also working on a feature to pause an entire campaign, we’ll let you know when it’s done.

  New feature available from today in the Reports section. Now you can use filters to see the performance reports for a specific list and better understand how a specific campaign is going.

  Campaigns: add prospects in bulk

  This is something which was really in high demand from our users so we are very happy to announce that starting today your life will be much easier when using Prospect.io!

  Instead of manually having to add every prospect to a campaign, now you can have all prospects in a list, and/or corresponding to a filter, assigned to a specific campaign in one fell swoop.

  
  

  There are 2 things you need to know about this feature:

  Daily limit :

  By default, your company can add 250 prospects per day to any campaign. This is the hard limit, but your company admin can lower it in your campaign settings.

  
  

  Auto scheduling :

  Keeping this daily limit in mind, if you choose to add more prospects than you can process in a day at once, Prospect.io will split them among the following days, while keeping your existing scheduled deliveries in mind. 

  For example :

  I have a 100/day limit, and a choose to start a campaign on a list containing 200 prospects. I already have 50 campaigns scheduled for today. The first 50 will be scheduled today, the next 100 tomorrow, and the remaining 50 on the 3rd day.

  Improved management of automatic replies (out of office)

  We are coming back to you with more good news concerning the way Prospect.io manages automatic replies like “Out of Office” replies for example. Until now these replies were automatically treated as regular replies and your prospect would often be removed from the campaign.

  We have improved this by allowing you to decide what’s the best way to manage this kind of message. You can treat these replies as bounces or regular replies. You can also decide to ignore these replies.

  The setting is available in Company Settings -> Bounces & Automatic Replies.

  Improvements on campaigns

  We deployed 2 big changes on how campaigns work.

  Campaigns are now totally dynamic

  Before this improvement, every time you made a change on a campaign this change was only available for new prospects added to that campaign.

  Starting from now all changes you do on a campaign are directly reflected on all prospects currently in the campaign. For example:

  • Fixing a typo
    
  • Changing the order of the steps
    
  • Modifying campaign's settings
    
  • Changing days between steps
    
  • ...

  
  

  Note: Of course, changes are only reflected for messages to be sent in the future. 

  Campaigns <> Templates

  We have separated campaigns and templates. You now have 2 buttons, one for sending an email and one to add a prospect to a campaign.

  Send from a Gmail / Google Apps alias

  You can now define an alias associated to your sending address. The alias must be set in your Google account. More information here:

  Send emails using your Gmail / Google Apps account

  Starting from now we don't send email using Sendgrid anymore. Instead, you can now connect a Gmail / Google Apps account to send emails.
  

  This is a major move for us and that come with a lot of benefits for you:

  • No more strange reply-to addresses: your prospect simply replies to your own email address and you'll reply to your prospect's email address
    
  • No more reputation: send emails like if you were doing it directly into your account
    
  • No more deliverability issues: with the old system, some emails were going in the spam or promotion folder. That is not the case anymore.
    
  • No more DKIM and SPF configuration: the DNS configuration associated with the deliverability concerns was very technical and difficult to handle. You don't need to do it anymore.

  CSV Import

  You can now import your own prospects by using a CSV file. 

  Any format and separator can be used. The import will let you map your columns with the corresponding Prospect.io's fields.

  Campaigns: schedule time of delivery

  Starting today, you can now separately set the time of day at which each step in your email campaigns will be delivered to the prospect. 

  
  

  This setting takes your time zone into account, as shown above.

  For existing campaigns, we've set a default delivery time at 9AM, also taking your time zone into account.

  We added a few columns in the prospects CSV export file:

  • bounced: true / false - Tell you if the prospect's email bounced
    
  • marked_spam: true / false - Tell you if the prospect marked your email as spam
    
  • drip_campaign: The name of the drip campaign the prospect is currently in
    
  • last_sent_email_at: Date of the last sent email
    
  • created_from: web / extension / import - From where the prospect was created

  Bounce, Spam and your Sender Reputation

  Maybe you already saw it in your Prospect.io account. We added a Reputation score at the bottom of the left column.

  
  

  This score is an indicator of how we view your email sending practices. We use the bounce and spam report rates to calculate this score. More information about this can be found in our Knowledge Base.

  As a result, we also give you the information about these bounces and spam reports. You can now see if a prospect's email bounced or if the prospect marked your email as a spam. This information is available in different screens:

  • In the prospects list (and in the filters)
    
  • In the prospect page
    
  • In the reports
    
  • In the campaigns

  Take control of your email deliverability

  We are really happy to announce this important feature for your deliverability: signing your emails with your own domain.

  You can now use your own reputation by adding DKIM and SPF records to your DNS. Emails you send through Prospect.io will be signed with your own domain.

  Emails signed by your own domain will look as if they've been sent directly from you, rather than delivered by Prospect.io. An example from Gmail:

  Starting today, when you are using our extension to look up email addresses, it will not only find addresses associated with the domain of the current page, but also, if the current page is a sub-domain (e.g. 'support.stripe.com'), it will also look up addresses associated with the top-level domain (e.g. 'stripe.com').

  Real time replies

  We improved the way we manage replies in Prospect.io. Now, all replies are tracked in real time. You can have entire conversations with your prospects in your favorite email client (Outlook, Gmail, ...) and all messages (not only the first reply) will be tracked in Prospect.io

  There is nothing to configure, everything is automatic.

  Email address validation

  From now, when you send an email to a prospect the first thing we do is to check the email address.

  We check if the email address exists on the server and doesn't bounce before actually sending your message.

  This is really important to improve the deliverability of your messages.

  We have added a job title field on prospects.

  Prospect variables and default values in templates

  We have introduced 4 new variables in the templates:

  • {{prospect_name}}: Full name of the prospect (ex: Steve Jobs)
    
  • {{prospect_firstname}}: First name of the prospect (ex: Steve)
    
  • {{prospect_lastname}}: Last name of the prospect (ex: Jobs)
    
  • {{prospect_company_name}}: Company name of the prospect (ex: Apple)

  
  

  In the same time we also introduced default values for these variables. 
  You can now write something like this:

  Hi {{prospect_firstname | default: 'there'}}!
  

  For Steve Jobs the variable will replaced by: "Hi Steve!". Without first name the variable will be replaced by "Hi there!".

  Another example with the company name: {{prospect_company_name | default:'your company'}}

  Introducing the LinkedIn™ Prospect Button

  We just deployed a big new feature for the extension: the LinkedIn™ Prospect Button.

  The idea is simple: when you visit on LinkedIn™ profile you get a new "Prospect!" button next to the profile picture. When you click on it, we'll use some magic to guess the email address based on the current positions of the person and we'll give a confidence score for this address.

  Prospects are now saved in lists, by default in the Default list.
